Management of resources is same as managing the organization's wealth.  Pool Car service providers, which provide transportation services to organization's internal staff or external visitors, in order to provider quality-services, are required to allocate their pool cars and chauffeurs accurately and efficiently. Traditionally, service providers usually use paper-based methodologies or Excel spreadsheets to maintain the requested services from bookers and the availability of resources. The allocation and validation of collisions among multiple requests are usually performed manually, which is inaccurate and labor intensive.

Flexible System Deployment Architecture

Pool Car System is a standard web-based application which supports a flexible system deployment architecture, which could be deployed in Intranet, Internet or even in Cloud environment.Booker and Admin users can access the system using standard web browsers through Intranet or Internet. As an optional module, Pool Car System also supports booking requests from electronic application form through email.

In addition, Pool Car System supports optional real-time status reporting from chauffeurs through mobile Android devices. Admin users could monitor the up-to-date status of all the chauffeurs in the office.

Booking Request - Pool Car System provides simple booking request form and minimize the input required from bookers. User-friendly controls, such as Drop down box, Auto-completion, Calendar, Online validation of inputs, etc. are provided to ensure all bookers can submit their booking requests conveniently.

Booking Status Tracking and Management

Pool Car System provides management function for bookers to track and manage their submitted booking requests. It also provides user-friendly UI for admin users to manage the booking requests submitted by different bookers.

Chauffeur and Pool Car Allocation

Pool Car System provides user-friendly interface for admin users to allocate chauffeur and pool car to each booking request.

Notification Controls

Pool Car System supports automatic or manual generation of notifications and alerts to different parties, including bookers, admin users and chauffeurs, on any changes of booking requests and allocations. Notifications are in form of emails for bookers and admin users. For chauffeurs, notifications could be sent to their mobile devices directly through 3G or Wi-Fi.

[Optional] Chauffeur Mobile Device

Pool Car System provides an optional Android mobile device application, which is for Chauffeur to report booking schedule status to the administrator whenever he/she picked up or dropped of the passengers. Admin users may also send ad-hoc notification messages to Chauffeurs' mobile device.

[Optional] Email Booking Application

Pool Car System provides an optional integration with Microsoft Outlook to automatically process booking requests submitted by emails. Admin Users can monitor and manage the email booking requests from admin portal.
